Request registration for an organisation
An organisation must be created before its members can receive organisational user accounts. Its creation is a manual decision by the competent authority selected in the request. The request identifies a future ECCAIRS 2 administrator and a separate administrative contact for the organisation.
If your organisation is already registered, contact its administrator. Individual users cannot request to attach their own accounts to an organisation through the portal.
Submit the request
- Open the ECCAIRS 2 Reporting Portal.
- Select Register your Organisation.
- Enter the organisation and contact details described below, then choose the reporting options it needs.
- Submit the request. It is sent to the selected competent authority, which reviews it and decides whether to create the organisation.
Information requested
| Form section | Information to provide | Purpose |
|---|---|---|
| Organisation | Responsible competent authority, company/organisation name, and the organisation approval number issued by that authority | Routes the request to the authority responsible for creating the organisation and identifies the applicant |
| To-be ECCAIRS 2 administrator | First name, last name and email address | Nominates the person who will have local administrator rights in ECCAIRS 2, create users and manage permitted settings |
| Organisation responsible contact | First name, last name, title, email address and phone number | Identifies the organisation's administrative point of contact; entering this person does not create an ECCAIRS 2 user account |
| Reason for registering | Explanation of why the organisation needs registration | Gives the authority context for its decision |
The technical administrator and the responsible contact have distinct purposes. An organisation may nominate different people for these roles. The responsible contact does not receive ECCAIRS 2 access merely by being named in the request.
Choose the reporting options
Once the authority creates the organisation, online reporting and offline smart PDF reporting are enabled by default. Consider the following additional needs on the request form:
| Additional option | What to request |
|---|---|
| API M2M reporting | Ask expressly if a local system will send reports to ECCAIRS 2. The integration can send report data through the direct API or transfer E5X files through the API. It follows a separate onboarding process, including preparation in a sandbox, before production reporting is authorised. |
| Manual E5X upload | Ask expressly if users need to upload E5X files through the reporting portal interface. The default is no E5X upload. |
| E5X update mode, where E5X is needed | Indicate full if each update contains all information for that report version, or incremental if it contains only the changes. This choice affects how ECCAIRS 2 processes later versions. Full E5X is preferred for simpler processing. |
E5X is the XML-based legacy ECCAIRS exchange format. A manual upload through the interface and an E5X transfer through the API are distinct ways to submit files; requesting one does not implicitly request the other.
If the authority creates the organisation, it appoints the nominated ECCAIRS 2 administrator as part of that process. This administrator can then create and manage its users and assign the predefined roles available to the organisation. Instructions for these tasks belong in the separate guide for registered users.
An organisational account is linked to one competent authority. If the nominated administrator can no longer manage it, the organisation will need to arrange a change of administrator. The exact procedure should be confirmed with the competent authority.
